     Hello NorCal Cup(s) team(s) – coaches, managers, parents and players,

     On behalf of the NorCal Board of Directors and the League Manager, I would like to welcome you and your teams players and parents – along with 832 other teams to the 2010 younger U9 to U13 NorCal State Cup(s).

      Once again, NorCal teams entered in record numbers and that is both gratifying and challenging.

Fortunately, over the past few years, as we have grown, we have gained the experience to organize large events of this type.

      At this time, there are a few loose ends that need to be addressed. Tomorrow, we will send an extensive discussion about the Seeding Process which will take place during the next 6 weeks.

  • Please make sure you have at least one person on your team (manager, coach or a parent) who takes the time to read and understand all of the bulletins. Some teams have managers who are back for the 4th year and experts at understanding the formats and the unique rules.

    Other teams are brand new and trying to make sense of what is a very different and unique State Cup(s)                         Tournament format compared to all the rest.

  • These bulletins will be posted on-line in the order they are sent.
  • The new Demosphere computer system will over time be modified to better fit NorCal events. Meanwhile, we will need to - when necessary -  “organize around” the system in place.
  • Every team – all 833 - that has entered as of this morning will be accepted into the event. The only exception would be a team that was found to be a member of Club not in good standing with NorCal – or a team that was not in good standing within their Club or NorCal.
  • If you receive this email and later receive a message mentioning your team is an alternate – that message will be a mistake. Only teams entering after last evening will be alternates.
  • The registration fee payment is not due until May 25th. All payment information – address, credit card, cost – is in the A to Z section of the U9 to U13 NorCal State Cups pages. Please begin to plan now to have the payment on time. Paying by check saves NorCal about $13 a team in credit card fees - the envelope needs to be postmarked on or before Monday, May 24th. If payment by May 24th is a severe problem, please contact NorCal!  
  • During the past week, a few new managers worried about making a mistake that might cause their team not to be accepted. NorCal will never “not accept” or drop a team for any reason unless they have received a direct communication – most likely a phone call – warning of a potential problem.
  • Please have your team “expert” read through the A to Z section. It is alphabetized and contains most of the information needed to help the teams enjoy and understand the NorCal State Cup(s) experience: http://www.norcalpremier.com/statecup/415177.html
  • Within a week or two, NorCal will begin to post the lists of rankings of the teams. That is when the Coaches and Managers can begin to help fine tune the placements. Until then, any lists that knowledgeable coaches and managers (or parents) put together will be helpful. Please remember, by far the most valuable data is “head to head” scores and that is what will move teams up and down once the original lists are posted.
  • A comprehensive message about Seeding will be sent within a day or so.
  • At the present time, NorCal needs 41 specific teams to fill in the age/gender Divisions to multiples of 8. The list is posted in the A to Z under “A” for Alternates. Based on adding 100 alternate teams in 2009, we don’t envision any problems adding the needed teams.
  • Based on last years experience, we expect that a few age/gender Divisions will fill and reach a multiple of 8; and then a new group of 8 will form.
  • Every age/gender division except the Under 10 broke the old record for the number of teams that entered. If anyone has any insights that would explain the Under 10 Girls, please let us know.
  • If there is event the slightest chance that your team will drop by the June 8th deadline, please let NorCal know. This will help in the counting of the teams and the movement of the alternate teams to being assured of a place in the event.
  • NorCal has received many compliments about the new website and also a few complaints about the steps needed to find the team page. We are working with Demosphere to make the site more “manager friendly”, but that will take time.
  • There is only one opening for an U9 Girls team – to reach 56. In 2009, we reached 47 and then it took almost 6 weeks to find the 48th team. NorCal does not expect that the U9 Girls will reach 64 teams – so the Under 9 Girls is pretty much closed.

Bulletin # 2 Theme(s):

Dear U9 to U3 2010 NorCal State Cup(s) team and Club management:

        During the next few months, I will be sending all team contacts all of the information needed to insure that your team has an enjoyable Under 9 to Under 13 NorCal State Cup(s). As much as possible, I will try to keep the messages – one theme per email.

        It is importation that every team have at least one person who understands the basic format – and is willing to keep the team on target to meet any deadlines; or to be involved in helping their team when it is needed.

        For the next 6 weeks or so, teams may help with the seeding. It is important that the process is kept in perspective. As many of you already know, it is an open and transparent process and the final seedings (rankings) are the work of all of the coaches and managers who volunteer to help.

        If you have little knowledge about the other teams, it is ok that you or your team not be seriously involved, but please keep an eye on the lists. Sometime in the process you might find yourself with some information that will be helpful. As an example, if your team is ranked 37th and you notice that two teams you have recently played and beaten are 29th and 33rd – that is an indication that your team should be moved up.

        The Committee now has a staff member who has coordinated this process for two years with a great deal of success. Last year, the process predicted the top 24 teams in Red after the first round with almost 80% accuracy – obviously much better than a random draw. 

        This will never be a perfect system, but in 2009 the system selected on average 13 of the 16 top teams in all age/gender groups from Under 9 to Under 13. The tournament works best when the teams are ranked close to where they belong. A strong team ranked too low has a negative affect on the newer and weaker teams in the White Division. On the other hand, a weaker team ranked into the red will result in one sided games. 

        The 20% - 25% error rate helps explain the famous “groups of death” in other events. The final Seedings will  be the best that we can design based on the information available and the invaluable assistance of many dozens of managers and coaches.

        Since the two top teams in a group of four move into the same level of competition – minor differences will work themselves out through game results. However, if a team that should be ranked in the top third is ranked in the bottom third – that will not be fixed by game results.

         Two years ago, the Coordinator reported receiving “angry messages”, but as everyone better understood the system - there were none last year. This will not be a perfect ranking and statistics tell the story: There can only be one # 1 team; and one team must be ranked at Red # 48 and another at White # 49.

         Some cynics suggested that this system would not work because the coaches would want to be ranked lower than their strength - so that they would have an easier opportunity to win a Championship. These people did not understand the honor and pride of the NorCal Coaches who most often are fighting to be ranked higher so that the team and players can be more challenged.

        It is also important that multiple teams in the same age/gender division be properly labeled. Please immediately label them 1/3, 2/3, 3/4 letting the Committee know that the 1/3 is the first team among the three teams entered from that Club. For seeding purposes, this system is more helpful than colors or letters – which can be confusing when dealing with so many teams.

          Please immediately label your team at the top of the Pertinent Comments section of the team application page. The Seeding Committee will use that page and emails to contact you if they wish more information.

You may contact the Seeding Committee at rankings@norcalpremier.com . Also, please copy U9_U13cupcoordinator@norcalpremier.com . I am not involved in the actual ranking, but oversee the process to insure that the Committee has the feedback it needs to organize a successful Seeding of teams.

         The Seeding Committee also asks that all teams copy URL’s and links that can demonstrate success.For example, a league standings or a tournament results. Please remember, that personal opinion does not count for much in this process – recent comparative scores are the “gold standard”.

          At this time, the Seeding Committee invites Managers and Coaches to send in lists of either the top 20 teams in a Division; and/or the bottom 20. Please make sure everything is well defined and easy to understand. No opinions please – recent comparative scores and League or Tournament standings must be included.

Bulletin #  3

     Hello Team Managers and Coaches,

     The new Demosphere system does not have several features that were available in the old system we used for four years. NorCal is no longer able to ask the webmaster to send out messages – as two examples - to all of the teams that have not paid; or even more refined to all teams that have a Manager listed without a telephone number.

      This means that teams that have already paid and those that have a telephone number listed for their manager will also receive the message intended for those that have not finished their application.

      I apologize for the inconvenience of receiving this email to the teams that have finished those two important aspects of the application process. When we reach more manageable numbers, we will begin to contact the teams individually.

 NorCal needs to create an excel for organizational purposes that includes not only the current email addresses, but also the phone numbers for the team management.

 We notice that some people entered more than one team and did not include any contact information for that person – only a name. Please immediately go back into the application and add the name and contact information for the coach and manager. Each team should have a contact person and contact information.

·        The Seeding Coordinator asks that I thank the many, many dozens of NorCal Club Officials, Managers and Coaches who have sent in recommendations for the rankings. At the present time, Phase 1, we are on target to post the beginning lists by Tuesday, May 25th.     

·        Phase 2, which will last about a month, is the most important part of the process. That is when specific comparative scores of recent games are sent in that suggest that teams should move up or down in the posted rankings. With many thousands of games played and being played this is the time when all NorCal members become part of the “Seeding Committee of the Whole”. The final rankings are more the result of their (everyone that helps) input than of the much smaller NorCal Seeding Committee.

·        There are still 14 openings in the 10 age/gender Divisions, but they are being filled at a rapid rate. If you know of any team(s) interested, please let them know. Here is the URL that shows the exact openings: http://www.norcalpremier.com/home/430481.html  The U9 Girls (56), U10 Boys (104), the U13 Girls (72) are full unless a team drops unexpectedly.

·        No home games option! If you are unable to guarantee excellent fields and qualified referees for your home games it is important that you elect to have no home games. The NorCal Board of Directors has asked the PAD Committee to investigate and report back to them all complaints about inferior fields.

·        It should be a matter of pride for both the Club and the team – and NorCal knows that this is true for many Clubs – to have the most highly qualified referees at all NorCal State Cup(s) games. Many, perhaps most, of the teams participating in the event(s) would rank in the top 100 Northern California teams in their age/gender group; and those players deserve the best referees that can be provided.

·        Please send a message to U9_U13cupcoordinator@norcalpremier.com  if you wish the “No home games”  option.

·        We are still receiving messages from a few new Managers worried or stressed about something being wrong with their application that will cause them to be dropped. No team has ever been dropped from the NorCal State Cup(s) unless they have been contacted personally – phone or email - about the situation.

         If you have sent in your check for the registration fee it will be posted by Sunday evening. We apologize for the delay which is the result of Shawna volunteering to be in charge of making funeral and memorial arrangements for well known North Bay coach Chris Carniato “Yato” who passed away unexpectedly two weeks ago at age 47

       By Sunday evening, May 23rd all registration fee payments will have been posted by NorCal; and all teams that have not paid will receive an email reminding them that the payment must be sent postmarked by May 24th or paid by credit card on-line by May 24th.

       If you experience any problems or need assistance, please contact NorCal at U9_U13cupcoordinator@norcalpremier.com . NorCal does not - never - change the status of a team from accepted to unaccepted without first contacting the team to make sure the team intends to drop.  Teams are never dropped because of a mistake or something forgotten - either on the part of a team manager or NorCal.

Dates for Rosters to be frozenNew this year: 

Window of opportunity in December for players to move from White teams to Red teams within their own Club. 

Frozen Roster - posted May 8th, 2010  in the A to Z

The NorCal Board has released the “freeze dates” and rules for the rosters for the 2010 Cup(s):

For games played on or before Monday, September 6th, all rosters must be submitted and will be frozen by at least 7 days before the first game – e.g. if the first game is played on August 21st, the rosters must be submitted and frozen by August 14th.

For teams playing their first game any day after September 6th, all rosters must be submitted and will be frozen by Wednesday, September 1st.

The NorCal Board will continue to accept requests for the “emergency addition” of plays after the deadline. These are most often approved in case of injuries to a goalkeeper and will be strictly monitored in 2010 – 2011.

Teams and Clubs are encouraged to used the flexibility of the US Club rosters to think ahead; and before the deadline add the players on the roster who “might” play.

New in 2010:  Players on White teams may be transferred to a Red team within their own Club beginning December 20th, 2010 and ending January 5th, 2011.  This major change will allow Clubs - as happens throughout the world - to reward the players who improve over the Fall League and Cup(s) season with the opportunity to play on a higher level team.

Theme(s): U9, U10, U12 and U13 Girls Full - 2 openings in Under 11 Girls

     Alternates will continue to be accepted for Girls teams, but, except in the Under 11,  teams will now have to rely on a team dropping.  This is the earliest groups have ever filled so it might be possible that a new group of 8 will form, but that is not likely.

     The Boys age/gender Divisions still have opening, but only 1 in both the U9 and U13.  These will not last long!

The rankings pages are both well over 1,000 visits since they were posted a few days ago. This is excellent and accounts for the many dozens of helpful messages that have been received by the Seeding Committee.

The Bulletins are not being read every day - or every other day - by many teams. Next week, NorCal will begin to post some articles that must be read and understood by every team -  if all teams are going to enjoy the event.

      This email message is being sent because in  the last few days, 3 teams have discovered that they applied to play  in the NorCal Cup(s) in the wrong age group.

     Very important: With all of the age/gender groups virtually full, it is possible that a team now asking to be switched to their correct age/gender grouping might not have an opening to which to be moved; and would have to be placed on the alternate list.  At this stage, NorCal relies on the Team Managers to be sure they have applied in their correct age group.  All teams are currently listed in the age groups for which they applied!

     Only a single team is needed in each of 7 age/gender groups: Under 9, 11, 12 and 13 Boys; and Under 9, 10 & 13 Girls.

       By Sunday evening, May 23rd all registration fee payments will have been posted by NorCal; and all teams that have not paid will receive an email reminding them that the payment must be sent postmarked by May 24th or paid by credit card on-line by May 24th.

       If you experience any problems or need assistance, please contact NorCal at U9_U13cupcoordinator@norcalpremier.com . NorCal does not - never - change the status of a team from accepted to unaccepted without first contacting the team to make sure the team intends to drop.  Teams are never dropped because of a mistake or something forgotten - either on the part of a team manager or NorCal.

Dates for Rosters to be frozen

New this year:  Window of opportunity in December for players to move from White teams to Red teams within their own Club. 

Frozen Roster - posted May 8th, 2010  in the A to Z

The NorCal Board has released the “freeze dates” and rules for the rosters for the 2010 Cup(s):

For games played on or before Monday, September 6th, all rosters must be submitted and will be frozen by at least 7 days before the first game – e.g. if the first game is played on August 21st, the rosters must be submitted and frozen by August 14th.

For teams playing their first game any day after September 6th, all rosters must be submitted and will be frozen by Wednesday, September 1st.

The NorCal Board will continue to accept requests for the “emergency addition” of plays after the deadline. These are most often approved in case of injuries to a goalkeeper and will be strictly monitored in 2010 – 2011.

Teams and Clubs are encouraged to used the flexibility of the US Club rosters to think ahead; and before the deadline add the players on the roster who “might” play.

New in 2010:  Players on White teams may be transferred to a Red team within their own Club beginning December 20th, 2010 and ending January 5th, 2011.  This major change will allow Clubs - as happens throughout the world - to reward the players who improve over the Fall League and Cup(s) season with the opportunity to play on a higher level team.

·        The Seeding Coordinator asks that I thank the many, many dozens of NorCal Club Officials, Managers and Coaches who have sent in recommendations for the rankings. At the present time, Phase 1, we are on target to post the beginning lists by Tuesday, May 25th.     

·        Phase 2, which will last about a month, is the most important part of the process. That is when specific comparative scores of recent games are sent in that suggest that teams should move up or down in the posted rankings. With many thousands of games played and being played this is the time when all NorCal members become part of the “Seeding Committee of the Whole”. The final rankings are more the result of their (everyone that helps) input than of the much smaller NorCal Seeding Committee.

·        There are still 14 openings in the 10 age/gender Divisions, but they are being filled at a rapid rate. If you know of any team(s) interested, please let them know. Here is the URL that shows the exact openings: http://www.norcalpremier.com/home/430481.html  The U9 Girls (56), U10 Boys (104), the U13 Girls (72) are full unless a team drops unexpectedly.

·        No home games option! If you are unable to guarantee excellent fields and qualified referees for your home games it is important that you elect to have no home games. The NorCal Board of Directors has asked the PAD Committee to investigate and report back to them all complaints about inferior fields.

·        It should be a matter of pride for both the Club and the team – and NorCal knows that this is true for many Clubs – to have the most highly qualified referees at all NorCal State Cup(s) games. Many, perhaps most, of the teams participating in the event(s) would rank in the top 100 Northern California teams in their age/gender group; and those players deserve the best referees that can be provided.

·        Please send a message to U9_U13cupcoordinator@norcalpremier.com  if you wish the “No home games”  option.

·        We are still receiving messages from a few new Managers worried or stressed about something being wrong with their application that will cause them to be dropped. No team has ever been dropped from the NorCal State Cup(s) unless they have been contacted personally – phone or email - about the situation.

         If you have sent in your check for the registration fee it will be posted by Sunday evening. We apologize for the delay which is the result of Shawna volunteering to be in charge of making funeral and memorial arrangements for well known North Bay coach Chris Carniato “Yato” who passed away unexpectedly two weeks ago at age 47

New in 2010:  Players on White teams may be transferred to a Red team within their own Club beginning December 20th, 2010 and ending January 5th, 2011.  This major change will allow Clubs - as happens throughout the world - to reward the players who improve over the Fall League and Cup(s) season with the opportunity to play on a higher level team.

     Alternates will continue to be accepted for Girls teams, but, except in the Under 11,  teams will now have to rely on a team dropping.  This is the earliest groups have ever filled so it might be possible that a new group of 8 will form, but that is not likely.

     The Boys age/gender Divisions still have opening, but only 1 in both the U9 and U13.  These will not last long!

·        The Seeding Coordinator asks that I thank the many, many dozens of NorCal Club Officials, Managers and Coaches who have sent in recommendations for the rankings. At the present time, Phase 1, we are on target to post the beginning lists by Tuesday, May 25th.     

·        Phase 2, which will last about a month, is the most important part of the process. That is when specific comparative scores of recent games are sent in that suggest that teams should move up or down in the posted rankings. With many thousands of games played and being played this is the time when all NorCal members become part of the “Seeding Committee of the Whole”. The final rankings are more the result of their (everyone that helps) input than of the much smaller NorCal Seeding Committee.

·        There are still 14 openings in the 10 age/gender Divisions, but they are being filled at a rapid rate. If you know of any team(s) interested, please let them know. Here is the URL that shows the exact openings:  http://www.norcalpremier.com/home/430481.html  The U9 Girls (56), U10 Boys (104), the U13 Girls (72) are full unless a team drops unexpectedly.

·        No home games option!  If you are unable to guarantee excellent fields and qualified referees for your home games it is important that you elect to have no home games.  The NorCal Board of Directors has asked the PAD Committee to investigate and report back to them all complaints about inferior fields.

·        It should be a matter of pride for both the Club and the team – and NorCal knows that this is true for many Clubs – to have the most highly qualified referees at all NorCal State Cup(s) games.  Many, perhaps most, of the teams participating in the event(s) would rank in the top 100 Northern California teams in their age/gender group;  and those players deserve the best referees that can be provided.

·        Please send a message to U9_U13cupcoordinator@norcalpremier.com  if you wish the “No home games”  option.

·        We are still receiving messages from a few new Managers worried or stressed about something being wrong with their application that will cause them to be dropped. No team has ever been dropped from the NorCal State Cup(s) unless they have been contacted personally – phone or email - about the situation.

         If you have sent in your check for the registration fee it will be posted by Sunday evening. We apologize for the delay which is the result of Shawna volunteering to be in charge of making funeral and memorial arrangements for well known North Bay coach Chris Carniato “Yato” who passed away unexpectedly two weeks ago at age 47

Theme:  Registration fee payment due postmarked by Monday, May 24th

       By Sunday evening, May 23rd all registration fee payments will have been posted by NorCal; and all teams that have not paid will receive an email reminding them that the payment must be sent postmarked by May 24th or paid by credit card on-line by May 24th.

       If you experience any problems or need assistance, please contact NorCal at U9_U13cupcoordinator@norcalpremier.com . NorCal does not - never - change the status of a team from accepted to unaccepted without first contacting the team to make sure the team intends to drop.  Teams are never dropped because of a mistake or something forgotten - either on the part of a team manager or NorCal.

Dates for Rosters to be frozen

New this year:  Window of opportunity in December for players to move from White teams to Red teams within their own Club. 

Frozen Roster - posted May 8th, 2010  in the A to Z

The NorCal Board has released the “freeze dates” and rules for the rosters for the 2010 Cup(s):

For games played on or before Monday, September 6th, all rosters must be submitted and will be frozen by at least 7 days before the first game – e.g. if the first game is played on August 21st, the rosters must be submitted and frozen by August 14th.

For teams playing their first game any day after September 6th, all rosters must be submitted and will be frozen by Wednesday, September 1st.

The NorCal Board will continue to accept requests for the “emergency addition” of plays after the deadline.  These are most often approved in case of injuries to a goalkeeper and will be strictly monitored in 2010 – 2011.
